How to Recover Marketplace Shortfalls: The 8-Step Claim Playbook

Every marketplace does it. Amazon, Flipkart, Meesho, Myntra, Ajio, Nykaa — they all have a category of deductions labelled "Other" or "Reserve" that never quite matches your expectation.

Step 1: Never trust the payment dashboard blindly

Marketplaces show you a summary, not a proof. Always pull the settlement CSV, not the summary. Amazon calls it "Settlement Report", Flipkart calls it "Payments Report", Meesho calls it "Earnings Statement". They all have the raw line-item view.

Step 2: Diff against your invoice, not their invoice

Compute your expected receipt independently from your invoicing tool. Then diff:

Step 3: Bucketize the discrepancies

Cluster mismatches into 4 buckets — each has its own SLA and template:

  • Weight remeasure — parcel reweighed at FC and priced higher. SLA: 15 days on Amazon, 30 days on Flipkart
  • Lost / damaged claims — parcel lost in transit. SLA: 60 days
  • RTO fee refunds — courier's fault. SLA: 45 days

Step 4: File in batches, not one-by-one

The single biggest efficiency lever is batching. Never file one claim at a time. Cluster by bucket and file 10-40 at once with a shared cover note. Approval rates jump ~15% because the reviewer sees pattern evidence.

Step 5: Attach the right evidence

  • Fee bracket: your commission agreement + the specific SKU's category listing
  • Weight: your original shipping label + FC weight slip
